Role Overview:

We are seeking a meticulous and proactive Warranty, Claims and Invoicing Administrator to manage warranty and contract claims, handle invoicing, and ensure smooth and efficient processing of all related documentation. This role is pivotal in maintaining our high standards of customer service and operational efficiency.

Key Responsibilities:

  • Warranty Administration:
  • Process warranty and contract claims in accordance with manufacturer guidelines and company policies.
  • Ensure all claims are submitted accurately and within required timeframes.
  • Liaise with the manufacturer and customers to resolve any queries or discrepancies.
  • Maintain detailed records of all warranty claims and status updates.
  • Claims Handling:
  • Manage all incoming and outgoing claims, ensuring they are processed efficiently.
  • Investigate and resolve any issues related to claims, coordinating with relevant departments as necessary.
  • Ensure compliance with all relevant regulations and company policies.
  • Invoicing:
  • Generate and process invoices for all sales, services, and warranty and contract claims.
  • Ensure all invoicing is accurate, timely, and complete.
  • Follow up on outstanding queries and manage accounts receivable.
  • Collaborate with the finance department to ensure accurate financial reporting.
  • Customer Service:
  • Provide excellent customer service by addressing inquiries related to warranties, claims, and invoices.
  • Maintain positive relationships with customers, suppliers, and other stakeholders.
  • Handle any customer complaints or issues with professionalism and efficiency.
  • Documentation and Reporting:
  • Maintain organized records of all warranty and contract claims, and invoicing activities.
  • Prepare regular reports on warranty/contract claims performance for management review.
  • Assist in audits and compliance checks as required.

Qualifications and Skills:

  • Previous experience in warranty administration, claims handling, or invoicing, preferably in the automotive industry.
  • Strong organisational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in using relevant software applications (e.g., dealership management systems, MS Office).
  • Ability to work independently and as part of a team.
  • High level of integrity and professionalism.

As an HGV Technician at Setanta Vehicle Sales, you will be responsible for the maintenance, repair, and servicing of heavy goods vehicles (HGVs) to the highest standards. Key Responsibilities:
